Frequently Asked Property Management Questions
Q: What information does Rafco need about my property in order to provide a proposal for services?
A: We will need a signed Non-Disclosure Agreement, as well as the following:
- Rent roll analysis (current rents vs. market rents)
- Delinquency report
- Financial statement-YTD
- Trial Balance, Budget vs. actual report-YTD
- Current agreements with contractors/vendors (i.e., trash, cleaning, snow removal, HVAC, fire monitoring, elevator service, etc.)
- List of “preferred” contractors/vendors and/or a list of current contractors/vendors working in the building
- Specs on major building equipment (elevators, HVAC system, etc.)--type, age, warranty information
- Floor plans showing division of common areas and units by square footage.
Q: Why would you need all of the things listed above to give me a quote for management services?
A: When we provide our proposal to you we want it to be as inclusive as possible to meet your needs and be relative to your specific property. Understanding the building’s equipment is crucial, in our opinion, so that we can manage your property effectively from the first day. Along with the management comes working with outside vendors and contractors; we want to know if there are already relationships established and/or if there are opportunities for us to provide you with competitive bids from other reputable contractors that may be able to better serve and/or provide better pricing. Ultimately, the items we ask for provide us with the information needed to give you a property management proposal that is “tailored” to fit your needs.
Q: Why do I have to sign a Non-Disclosure Agreement?
A: We ask all potential clients requesting a proposal for services to enter into a Non-Disclosure Agreement to provide them the comfort of confidentiality when they disclose financial information to us. We request numerous financial reports as well as other information regarding a property and want to assure the potential client that their information will be professionally and appropriately handled.
Q: Why should I select you as the property manager of my property over another property management company that has much larger staff and portfolio?

Q: Is my property too small to be managed by your company?
A: No. Our management portfolio does include single family homes as well as individual condominiums. It is more dependent upon the scope of work and location rather than the size. Please fill out the informational form located above and someone from our office will contact you.
Q: Do you only manage properties in the St. Louis area?
A: Currently we only manage property in the central corridor of the St. Louis area.
Q: Will you provide management services without doing accounts payable and/or receivables?
